Sortd Privacy Policy

This Privacy Policy explains how Sortd Software Ltd collects, uses, shares and protects your personal data when you use the Sortd mobile application and related services (the “App”), and your rights under UK data protection law. Please read it alongside our Terms and Conditions.
1. Who we are
Sortd Software Ltd (“Sortd”, “we”, “us”, “our”) is the data controller for the personal data described in this Policy.

We are registered with, or in the process of registering with, the Information Commissioner’s Office (ICO), the UK’s data protection regulator.
2. The data we collect
We collect the following categories of personal data.
Account data: your name, email address and, if you choose to provide it, your phone number, along with your login credentials (stored securely) and account settings.
Financial and work data you enter: the information you put into the App to use it, which may include your working hours, hourly or day rates, income, monthly targets, expenses and expense categories, photographs of receipts, mileage and journeys, invoice details and any optional salary information. This is the data the App uses to produce your estimates and documents.
Subscription data: whether you are on the free or Premium tier and your subscription status. Payments are processed by the Apple App Store. We do not collect or store your card or bank details. When we introduce a subscription management provider, we will receive limited information about your subscription status from it.
Technical and usage data: information about how you access and use the App, such as device type, operating system, app version, identifiers, diagnostic and crash data, and (if you enable them) push notification tokens.
Communications: the content of messages you send us, including support requests, bug reports, feedback and feature requests.
3. How we collect your data
We collect data directly from you when you create an account and use the App, automatically through your use of the App, and from third parties who provide services to us (for example, our app store and our subscription provider in relation to your subscription status).
4. Why we use your data and our legal bases
Under UK GDPR we must have a legal basis for using your personal data. The bases we rely on are set out below.
To provide the App and perform our contract with you (legal basis: performance of a contract). This includes creating and managing your account, storing your entries, producing your estimates, invoices and other outputs, and providing customer support.
To send service and transactional emails (legal basis: performance of a contract), such as email verification, password resets, and important notices about your account or the App.
To operate, secure and improve the App (legal basis: our legitimate interests in running and improving a safe, working service). This includes diagnosing problems, preventing fraud and misuse, keeping the App secure, and analysing usage in an aggregated way. Where we use your feedback or anonymised and aggregated data, that data does not identify you.
To send push notifications, including hours reminders (legal basis: your consent, given through your device when you allow notifications). You can withdraw this at any time in the App or device settings.
To send marketing communications (legal basis: your consent), if and where you opt in. You can withdraw consent at any time.
To comply with our legal obligations (legal basis: legal obligation), for example keeping certain records and responding to lawful requests.
We do not use your data to make solely automated decisions that produce legal or similarly significant effects about you. The estimates the App produces are calculations you control and review, not decisions we make about you.
5. Who we share your data with
We do not sell your personal data. We share it only as needed to run the App, with service providers (“processors”) who act on our instructions, and where the law requires.
Our key providers include:
- Apple (App Store distribution and payment processing).
- Our hosting and database provider (secure storage of your account and app data, including receipt images held in private storage).
- Our email provider (sending verification, reset and other transactional emails).
- Our subscription management provider (managing subscription status, once introduced).
We may also share data: with professional advisers (such as lawyers or accountants) where necessary; with authorities or third parties where required by law or to protect rights, safety or property; and with a buyer or successor if our business is reorganised, sold or transferred, in which case your data remains protected by this Policy or an equivalent one.
We put appropriate contracts in place with our processors requiring them to protect your data and use it only for the purposes we specify.
6. International transfers
Some of our providers may store or process data outside the United Kingdom. Where personal data is transferred outside the UK, we ensure an appropriate safeguard is in place, such as the UK International Data Transfer Agreement, the UK Addendum to the EU Standard Contractual Clauses, or transfer to a country covered by UK adequacy regulations. 7. How long we keep your data
We keep your personal data for as long as your account is active and for as long as needed to provide the App. If you delete your account, we delete or anonymise your personal data, except where we need to keep certain information to comply with a legal obligation, resolve disputes, or enforce our agreements. Aggregated and anonymised data, which does not identify you, may be kept indefinitely.
8. How we protect your data
We use technical and organisational measures to protect your data, including access controls and row-level security on our database, encryption in transit, private storage for receipt images, and restricting administrative access. No system can be guaranteed to be completely secure, so while we work to protect your data we cannot promise absolute security. You also play a part by keeping your login details secure.
9. Your rights
Under UK data protection law you have the following rights:
- Access: to ask for a copy of the personal data we hold about you.
- Rectification: to ask us to correct inaccurate or incomplete data. Much of your data you can edit directly in the App.
- Erasure: to ask us to delete your data. You can delete your account and associated data from within the App at any time.
- Restriction: to ask us to limit how we use your data in certain circumstances.
- Portability: to ask for certain data in a portable format.
- Objection: to object to processing based on our legitimate interests.
- Withdraw consent: where we rely on consent (such as push notifications or marketing), you can withdraw it at any time, without affecting processing done before withdrawal.
To exercise any of these rights, contact us at support@getsortd.app. We will respond within the time limits set by law (usually one month). We may need to verify your identity first. Exercising these rights is free in most cases.
10. Children
The App is intended for adults aged 18 and over and is not directed at children. We do not knowingly collect data from anyone under 18. If you believe a child has provided us with personal data, contact us and we will delete it.
11. Cookies and similar technologies
The App is a mobile application and does not use website cookies in the traditional sense. It may use device identifiers and similar technologies necessary to run the App, keep you signed in, deliver push notifications (if enabled) and diagnose issues. Where any such technology is not strictly necessary, we will rely on your consent.
12. Changes to this Policy
We may update this Policy from time to time, for example to reflect new features or changes in the law. The “Last updated” date shows when it last changed. If a change is significant, we will take reasonable steps to bring it to your attention through the App.
13. Complaints
If you have a concern about how we handle your data, please contact us first at support@getsortd.app so we can try to put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK supervisory authority, at ico.org.uk or by calling their helpline. We would, however, appreciate the chance to address your concern before you approach the ICO.
